Check-in
Video: BART Check-in Module Overview
Introduction
The BART Check-in module has been developed to improve the visibility of member activity.
Instead of manually tracking time and attendance, Members can now quickly log their hours and activities directly in the BART app. All check-ins are securely stored in one central location, making it easier for both Members and management teams to track participation, compliance, and brigade time requirements.

How does it Work?
The Check-in module allows Members to:
Record their time and activities
Categorise activity by type (Operational, Training, Maintenance, Administration, Other)
Link an Event, or Incident to the check in
Add notes for additional context
View their own check-in history
For management teams, Check-in provides:
Centralised time and activity records
Visibility of Member participation
Accurate reporting against brigade requirements
Track External personnel visiting your location
When a Member checks-in, they will see a green banner at the top of the app screen. This banner can be tapped to bring up the ‘check out’ screen.
Administrators have the ability to check-in on behalf of other Members of their Group. When checked in by an Administrator, the Member will receive a notification to let them know they’ve been checked in.
Check-in Reason
When checking in, Members are required to select a Reason from the list provided:
Operational
Select this option when checking into an Incident. You’ll have the ability to select from a list of your latest Broadcasts, or alternatively, you can add a Custom Reference.
Custom Reference Example: Standby (21/02/26)
Maintenance
Select this option for time spent completing Maintenance tasks.
Training
Select this option for time spent completing Training. You’ll have the ability to select from a list of your latest Events.
Administration
Select this option for time spent completing Administration tasks.
Other
Select this option for time spent completing Other tasks that don’t relate to the options listed above.
‘Check Out’ Notifications
Notifications are sent if a member fails to check out. If they fail to log out after 24 hours, then the system checks them out automatically.
Members are reminded to check out:
+10 hours after check-in = "you are still checked in is this correct?"
+12 hours after check-in = "you are checked in for more than 12 hours”
+24 hours after check-in = “you have been checked out”
Who can use Check-in?
The Check-in module has been designed to allow both your brigade members (internal users who have a BART account) and external personnel to record their time within the app.
For members of your Group or Organisation who have an existing BART account, you can check-in via both the BART smart device app and Member Admin Portal webapp.
External users such as contractors, council workers, or any other person that does not have a BART account can now have the time of attendance tracked. Administrators have the ability to generate and display a QR code at the station or incident.
Check-in Locations
Members have the ability to check into every Group, District, Zone or Organisation location within their Organisation, as long as there is an associated location recorded against it.
Reporting
Administrators have the ability to view Check-in totals for their Group(s) via the Members Admin Portal, and create CSV, Excel or PDF printouts. The Totals tab allows administrators to expand the date range for up to twelve months to report group activity.
